We’re looking for an Order & Logistics Coordinator to take ownership of our order flow — from the moment a customer places an order to the successful delivery at their door. Your Role
As our Order & Logistics Coordinator, you are responsible for managing customer orders and ensuring timely and accurate delivery. You act as the key link between our customers and logistics operations. With a proactive mindset and eye for detail, you help ensure everything runs smoothly — from order entry to delivery confirmation.
What You’ll Do
Order Management & Shipping Coordination
- Process customer orders every morning to ensure timely shipment
- Send accurate shipping instructions to external warehouses, who handle both shipment execution and track & trace label creation
- Monitor delivery progress and follow up on confirmations (such as PODs)
- Proactively resolve delivery issues such as delays, mis-shipments, or missing items
Customer Support & Return Handling
- Serve as the main contact for customer inquiries related to orders and deliveries
- Handle product returns and credit notes (CNs)
- Investigate and follow up on damaged or lost shipments, including liaising for insurance claims
Inventory & Data Accuracy
- Support regular stock checks and follow up on inventory discrepancies
- Maintain and update item master data in alignment with warehouse operations
Process Ownership & Improvement
- Take ownership of your workflows and suggest improvements to optimize efficiency and accuracy
- Work closely with colleagues across teams to ensure smooth coordination and communication
Key Skills & Experience
- Experience in order processing, logistics coordination, or customer support
- Strong communication skills in English (Dutch is a plus)
- Solid working knowledge of ERP systems and Microsoft Office, especially Excel
- Comfortable working with product data, stock movements, and delivery schedules
- Strong attention to detail and logical thinking
- Able to work independently and handle multiple tasks in a dynamic environment
- Proactive and solution-oriented mindset
